The Opportunity

HLA is a dynamic non-profit, public interest law firm that provides free legal assistance to Massachusetts residents in low-income situations who are facing barriers to health care. Founded in 1996, HLA provides individual representation and advice for more than 1,000 clients annually. HLA's Mental Health Advocacy Program for Kids (MHAP for Kids) diverts children with unmet mental health needs from the juvenile justice system by helping them access mental health services. MHAP for Kids attorneys are embedded in Family Resource Centers (FRCs) where they help at-risk youth overcome barriers to mental health services. A Boston University study of MHAP for Kids found that the program improves the health of children and their families. MHAP for Kids has received state funding since 2018 to implement this work and expand statewide.

Position Summary

The administrative assistant supports the work of four organizational leaders as described below.

Some responsibilities are seasonal. From January through June, approximately 60% of the duties will be focused on supporting the MHAP for Kids Senior Director's activities to secure state funding for the program. From July through December, approximately 60% of the duties will be focused on supporting the administration of our annual fundraising event.

Duties and Responsibilities

During the months of January through June, the assistant takes direction primarily from the MHAP for Kids Senior Director. Specific duties include:

  • Coordinate scheduling and logistics for lobbying activities
  • Track lobbying activities
  • Maintain contact with legislative offices to schedule meetings and appointments
  • Support the drafting of fact sheets, letters to legislatures, and other documents
  • Attend meetings

During the months of July through December, the assistant takes direction primarily from the Manager of External Engagement to support our large-scale annual fundraising event which takes place in November. Specific duties include:

  • Managing mailings to donors (printing, stuffing, collating, printing notecards)
  • Event sponsor support and follow-up (managing RSVPs, collecting program materials, etc.)
  • Donor database data entry
  • Support event co-chairs and rising attorneys committee

Executive Director support:

  • Scheduling
  • Filing
  • Meeting and anticipating other administrative needs

Director of Finance and Operations support:

  • Tracking accounts payable and receivable
  • HR logistics
  • Seasonal: supporting annual audit and annual insurance renewal applications

General:

  • Email list management
  • Social media support

Other duties as assigned.
